Feature Focus: Working With Documents



Many documentation workflows require sharing of documents inside and outside the organization. Deteyo search implements several one click functions which support this key component of the process, enabling easier document sharing and collaboration, including simple digital signatures.

Sharing Documents

The most common way to share documents is via email or messaging application. Most of these applications allow the user to paste documents copied from the clickboard. Deteyo search one click Copy feature automatically adds that file to the clipboard for easy access via mouse clicks or keyboard shortcuts.

Document Collaboration

When sharing documents outside the organization, copies of the file are typically sufficient. However, when sharing inside the organization, it is typically more advantageous to share a link to the file in question. Deteyo search one click Link feature automatically copies a working url to that document to the clipboard. This can be pasted into email or messaging apps so that the recipient can simply open the file and provide their input. Please note that for this to work, the file has to be in the same relative location for each user, eg, on a shared network drive with the same assigned letter.

Implementing Digital Signatures

Digital signatures are a great way to provide evidence of a robust review and release process. Using the one click Link feature of Deteyo search, users can forward links via email or messaging app when they are ready for the next stage of the review or release process. At each stage, reviewers can click the link to open the file and use freely available digital signature tools. Once complete, they can respond or forward the link as necessary.
